What Should a Hotel Shift Handover Include So Nothing Gets Missed?
By Foodle+ Team • • 13 MINS READ

A hotel shift handover should pass on open guest requests, promises made, room problems, bill issues and anything the next shift must act on. Most misses do not come from careless staff. They happen because one person knew something and the next person never heard it.
This guide shows what to include, what to leave out and a simple template your front desk can start using tonight. It works with a paper book, a shared sheet or software.

Why Do Things Get Missed at Shift Change?

Things get missed because the outgoing shift is tired, the incoming shift is rushed and the information sits in someone's head. A guest asks for an extra pillow at 8 pm, the evening staff member says yes, and then the shift ends. The night staff never hear about it, and the guest asks again at midnight.
These are the usual gaps.
- Verbal only. The handover is a quick chat at the door, and half of it is forgotten by the next hour.
- Promises not written. A late checkout, a free dessert or a room change was agreed but never noted.
- Pending guest requests lost. A repair or an item request was open when the shift ended and no one owned it.
- Room status unclear. The desk thinks a room is ready, but housekeeping is still cleaning it.
- Bill issues hidden. A disputed charge or a declined card stays with one person.
- Too much noise. The book is full of routine notes, so the one important line gets buried.
The cost is real. A missed request becomes a repeat complaint, and a missed promise becomes a bad review. Safety bodies such as the UK Health and Safety Executive point out that communication failures at shift handover have contributed to serious accidents in other industries. A hotel is lower risk, but the lesson is the same: handover needs care.
What Should a Hotel Shift Handover Include?
Include only what the next shift needs to act on or be aware of. If a line does not change what the next person does, it does not belong in the handover. Use these nine items as your base.
- Pending guest requests. Write the room, the request, who took it and the time it was asked.
- Promises made to guests. Late checkout, upgrade, free item, wake-up call or a callback.
- Open complaints. Say what the guest is unhappy about, what you have done and what is left.
- Arrivals that need care. VIPs, groups, early check-ins and guests with special requests.
- Room status problems. Rooms out of order, rooms not ready, rooms blocked for repair and when they should return.
- Bill and payment issues. A disputed charge, a declined card, a pending advance or a bill still to be corrected. Never write card numbers in the book.
- Maintenance and safety items. A leak, a lift fault, a broken lock or a power problem that is still open.
- Small items that get forgotten. Wake-up calls, cab or transfer bookings, parcels, messages and lost property found this shift.
- Outside factors. A power cut, road closure, event in town or a staff member who has not arrived.
Also write the name of the duty manager on site, so the incoming staff know who to call. For each item, add a name. A task without a name is a task that nobody does.
What Should You Leave Out of the Handover?
Leave out anything that is routine, finished or already in the system. A short handover is read. A long one is skipped.
- Closed complaints that the guest is happy about.
- Normal check-ins and checkouts that went as expected.
- The full arrivals list, which the next shift can open on their own.
- Routine cleaning status that the system already shows.
- Opinions and gossip about guests or staff.
- Card details, IDs and passwords. These do not belong in a book or a chat.
A good test: if the next shift would not miss the line, delete it.
What Does a Simple Hotel Shift Handover Template Look Like?
A good template is one page and takes less than ten minutes to fill. Use this table as your front desk handover notes, on paper or in a shared sheet. The examples show how short each line should be.
| Section | What to write | Example |
|---|---|---|
| Shift and names | Date, shift time, outgoing and incoming staff | 22 Oct, evening to night, Priya to Arun |
| Pending guest requests | Room, request, time asked, who owns it | Room 204, extra blanket, asked 9:10 pm, Arun to send |
| Promises | Room, what was promised, by when | Room 112, late checkout until 1 pm, approved by manager |
| Duty manager | Name and phone of the manager on site | Mr Rao, ext 101 |
| Complaints | Room, issue, action taken, what is left | Room 305, AC noise, moved to 308, check in the morning |
| Arrivals and departures | Only special cases | Group of 6 arrives at 11 pm, dinner kept ready |
| Rooms | Out of order, not ready, return time | Room 210 blocked, plumber due 10 am |
| Bills | Disputes, declined cards, pending advances | Room 118, restaurant bill under check, do not close folio |
| Cash and keys | Cash drawer counted and signed, spare keys counted | Drawer counted by both, spare keys 12 of 12 |
| Small items | Wake-up calls, transfers, parcels, lost property | 5:30 am wake-up for room 207, cab at 6 am |
| Outside factors | Power, road, events, staffing | Wedding nearby, expect late arrivals |
| Sign-off | Incoming staff name and time | Arun, 10:05 pm |
The sign-off line matters. It shows that the incoming person read the notes and accepted the work.
How Do You Run a Good Handover Conversation?
Do it face to face, use the notes as your guide and let the incoming person ask questions. Writing alone is not enough, and talking alone is not enough. The HSE guidance on handover also recommends a mix of spoken and written information, with the incoming person checking what they receive.
- Prepare before the shift ends. Start writing the notes about 15 minutes before you leave, and close whatever you can first. Do not write them at the door.
- Talk through the open items. Start with the most urgent, such as a guest waiting for a fix.
- Let the incoming person read back. Ask them to repeat the two or three key items in their own words.
- Walk to the problem if it is physical. Show the room or the area, instead of describing it.
- Count together. Count the cash drawer and the spare keys with the incoming person, and both sign. This ends the "it was short when I came" argument.
- Sign and time the notes. This takes ten seconds and avoids arguments later.
- Keep it short. Ten minutes at the desk together is enough for most small and mid-size hotels.
Before you leave the desk, ask yourself five questions.
- Did I write every promise I made to a guest?
- Does every open request have a name next to it?
- Is every room problem written with a return time?
- Did I count the cash and keys with the next person?
- Does the next person know who the duty manager is?
If your hotel runs with few staff, try to keep a short overlap between shifts, even if only for ten minutes. If that is hard, see how other hotels run with fewer staff without dropping service.
What Should Happen After the Handover?
A handover only works if someone checks it. Without a check, the notes slowly turn into a habit that no one reads.
- Every morning, the front office manager reads the last night's notes and picks three items to check, for example one request, one promise and one bill issue.
- Any item still open after two shifts goes to the daily team meeting, with a named owner and a date.
- Once a week, watch one shift change without telling the team in advance. You will see what really happens.
- Ask the front desk, housekeeping and F&B staff what keeps getting missed, and change the template to fix it.
How Do You Adapt This for a Very Small Property?
A small hotel can use a one-page version. If the owner or a single manager runs the property with two or three staff, keep only four lines: pending requests, promises, room problems and bill issues. Add the cash count and the sign-off. You can add the other lines when the team grows.
Should You Use a Log Book, a WhatsApp Group or Software?
Use whichever your team will actually fill in every day, then move to software when the volume grows. A front desk log book is a good start, but each tool has limits.
- Front desk log book. It is cheap and familiar, but it can only be read in one place, and it gets full of routine lines within weeks.
- WhatsApp group. It is quick, but important requests get lost in the chat, and there is no clear owner or status.
- Shared sheet. It can be seen by many people, but it does not link to rooms, bills or guests.
- Software. Requests, room status and bills sit against the room or the guest, so the next shift can see them without asking.
The best system is not the most advanced one. It is the one where the next person finds the information in under a minute.
How Should the Night Shift Hand Over to the Morning Shift?
The night shift should hand over the audit status, early departures, pending requests and rooms to be prepared first. The morning team starts with a full house of checkouts, so they need a clear list, not a long story.
- Night audit done or not done, and any unusual charges found.
- Early departures and wake-up calls for the morning.
- Rooms that must be ready first, such as early arrivals.
- Pending requests from the night, still open.
- Anything housekeeping or maintenance must know before they start.
A handover is not the same as a night audit. The night audit checks and closes the day's money. The handover passes on what needs action. You need both.
What Should You Do With an Open Complaint or Bill Dispute?
Write what the guest said, what you did and what is next, with one named owner. Do not write "guest unhappy, please see." The next person needs enough detail to act without calling you at home.
- Say what happened in one line.
- Say what the guest was promised.
- Say who will follow up and by when.
- Say if a manager needs to approve anything.
- Keep the amount and the reason, but not card details.
How Can Software Help With Hotel Shift Handover?
Software helps by keeping requests, room status and guest records in one place, so the next shift does not depend on what the last shift remembered to say. It does not replace the face to face talk. It makes sure the record is already there before the talk starts.
Foodleplus PMS (Property Management System) connects the front desk, reservations, billing and housekeeping with live room status and task assignment, and also supports staff tasks and shifts. With Foodleplus Guest Experience Software, guests order or request services from the room QR code, with no app to download. Those requests are routed to housekeeping, F&B or maintenance and tracked in real time. So a request raised at 8 pm is still visible to the staff who start at 10 pm.
Start with the routine in this guide. Software works best when the habit is already there.
How Will You Know the Handover Is Working?
Track three simple numbers each week and compare them with the week before. Your morning check from the section above gives you most of the data.
- Guest requests asked twice. Count how many guests had to repeat a request.
- Complaints that began as a missed handover. Mark them in your complaint notes.
- Minutes spent on handover. It should stay near ten, not grow to thirty.
Do not set a target on day one. Collect two or three weeks of numbers, then fix the one that hurts most.

So, Where Should You Start?
You do not need a new tool to improve your hotel shift handover. Tonight, write the pending requests and promises on one page, name an owner for each, and ask the incoming person to sign it. After two weeks, look at your three numbers and decide what to fix next.
